Indus Hospital & Health Network is seeking a proactive and organized Admin Officer to support daily administrative and operational functions at its Jhal Magsi facility. The ideal candidate will possess strong organizational, communication, and coordination skills, ensuring smooth office operations while supporting various administrative and logistical activities.
Education
- Bachelor's degree (required)
- Master's degree (preferred)
Experience
- Minimum 2 years of relevant administrative experience
Key Responsibilities
Office Administration
- Manage day-to-day office operations to maintain an efficient and productive work environment.
- Monitor office supplies and coordinate procurement when necessary.
- Handle incoming and outgoing correspondence and maintain office equipment.
Financial & Administrative Support
- Assist the finance team with invoice processing, expense documentation, and budget tracking.
- Maintain accurate records and support the preparation of financial and administrative reports.
Database & Record Management
- Maintain and regularly update organizational databases, including employee, vendor, and operational records.
- Ensure proper documentation and secure record-keeping practices.
Event & Meeting Coordination
- Support the planning and execution of meetings, workshops, conferences, and organizational events.
- Coordinate logistics, venue arrangements, and required resources.
Travel Management
- Arrange travel bookings, accommodation, and transportation for employees and visitors as required.
- Prepare travel itineraries and ensure timely coordination of travel-related activities.
Facilities Management
- Monitor office facilities and coordinate maintenance and repair work.
- Liaise with vendors and service providers to ensure a safe and functional workplace.
Communication & Correspondence
- Manage incoming calls, emails, and official communications.
- Direct inquiries to relevant departments and provide administrative support when needed.
Policy Compliance
- Ensure adherence to organizational policies, procedures, and regulatory requirements.
- Assist in implementing updated policies and administrative guidelines.
Reporting & Documentation
- Prepare administrative reports and maintain accurate files and records.
- Support management with documentation and reporting requirements.
