Job Description

To ensure smooth functioning of the GM Works Office by managing administrative coordination, documentation, communication flow, and timely execution of office-related matters.


Job Description

In this role, you will be responsible for:

  • Arranging meetings and ensuring availability of required materials, facilities, and participants.
  • Preparing and circulating minutes of meetings in a timely manner.
  • Drafting official letters, correspondence, and communications with relevant stakeholders.
  • Monitoring daily, weekly, fortnightly, and monthly reports submitted to the GM Office and initiating follow-ups as directed.
  • Maintaining domestic and industrial water records along with complete correspondence with government departments.
  • Handling incoming calls for the Director & GM Office, screening calls, and recording messages when required.
  • Coordinating with the Admin Department for submission and processing of medical bills and monthly reporting to senior management.
  • Preparing departments for internal audits and ensuring submission of clearance/discrepancy reports the next working day after audit completion.
  • Receiving guests and visitors, determining purpose of visit, and arranging meetings with concerned personnel when needed.
  • Managing travel, accommodation, and logistics for GM Works and official guests.
  • Coordinating with Head Office and all project/works sites on behalf of GM Works.
  • Ensuring timely submission of monthly summaries, including incident reports by the 5th of each month.
  • Performing any additional tasks assigned by GM Works management.

Qualification & Experience

  • Bachelor’s or Master’s degree
  • 2 to 4 years of relevant experience in a similar administrative/secretarial role

  • Effective time management with the ability to meet strict deadlines
  • Strong analytical and problem-solving skills
  • Proficiency in MS Office (Word, Excel, PowerPoint) and Outlook
