Insignia is seeking a highly organized and proactive Administration & Executive Coordination Specialist to provide executive support while ensuring the smooth functioning of office administration. The ideal candidate will excel in communication, coordination, and office management, maintaining professionalism and confidentiality in a fast-paced corporate environment.

Key Responsibilities

Executive Support

  • Manage calendars, appointments, meetings, and travel arrangements for senior leadership.
  • Prepare meeting agendas, minutes, presentations, reports, and official correspondence.
  • Coordinate internal and external communications on behalf of management.

Administration & Office Management

  • Oversee daily office operations, facilities, and office supplies.
  • Maintain organized records, documentation, and filing systems.
  • Support employee onboarding and coordinate administrative activities with HR and Finance teams.

Coordination & Communication

  • Liaise with internal departments and external vendors to ensure seamless operations.
  • Monitor task progress and ensure timely follow-ups on meetings, deadlines, and action items.
  • Facilitate effective communication across teams.

Compliance & Record Keeping

  • Ensure office operations comply with company policies and procedures.
  • Handle confidential information with integrity and discretion.
  • Maintain petty cash records and monitor administrative expenses accurately.

Eligibility Criteria

Education

  • Bachelor's degree in Management, Business Administration, or a related field.

Experience

  • 3–5 years of relevant professional experience in administration, executive coordination, or office management.

Required Skills

Technical Skills

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Familiarity with ERP systems or office management software.
  • Strong documentation, reporting, and organizational skills.
